All companies that apply the Quality Management System standards in their enterprises are obliged to prepare the documents to be used according to the system, keep them updated and apply them. Some documents are the documents that the system requires to be prepared. For example, the Quality Manual and Procedures are included. The quality management representative is responsible for the preparation of these. A part documents business processes, application instructions, forms and similar documents. Unit employees and managers are responsible for the preparation of these activities. However, these must also be checked by the quality management representative in charge of the enterprise. Quality management representatives carry out their checks on existing documents in three cases:

  • If there is a change in the legal regulations related to the fields of activity,
  • If the Quality Management System standard is revised,
  • Even if not, periodically at least once a year

In addition to these situations, quality management representatives have the responsibility to check these documents when an update is made or a new document is prepared for the activities related to the units' responsibility.

The quality management representative records all documents in the current document form, together with the date of initial preparation and the date of revision.

All documents are stored on the computer systems of the enterprises in accordance with the authorization levels and accessible to all employees.

All documents are coded in accordance with the principles determined from the beginning by the quality management representative. In general, procedures are coded as PR, forms FR, application instructions UT, plans pl.

There are also a number of external documents that are consulted during the implementation of the activities. This includes, for example, laws, regulations or official announcements. These documents are usually received over the Internet. However, it is not possible to check the contents.

Documents that are out of date are sent to the archive by pressing the cancellation stamp.
